Is Your Campus Ready for the Influx?

A Faster Way to Prep Your Team for the Start of the Year

For years in student affairs, I managed move-in in residence life, and I can tell you exactly what the week feels like from the inside: a line of cars that doesn’t end, a student in tears because her roommate assignment changed overnight, a parent who wants to speak to someone in charge right now, and a staff of RAs running on four hours of sleep and their own first-week nerves. Every one of those moments is what our Service Excellence Toolkit calls a “moment of truth,” a chance to create magic or leave someone with an impression that sticks for the rest of the year. You don’t get many chances to redo a first impression, and move-in week hands you hundreds of them, all at once.

Here’s what I wish someone had told me back then: what your team needs in that week isn’t a month of training. It’s the right five minutes at the right moment.

When I was in the role, I didn’t know a resource like this existed. Academic Impressions offers a full customer service certification, and it’s genuinely good: it gives staff a real framework for handling frustrated people and remembering what excellent service actually looks like under pressure. But even if I’d found it in time, it takes a month to complete, and by August there was no month left to give it. Training had to happen in the gaps between meetings, in the ten minutes before a shift, in the moment right before a parent walked up already frustrated. A month-long course couldn’t have met me there.

That’s the gap our Service Excellence Toolkit is built to close. It takes the certification’s core ideas and breaks them into short, standalone resources you can hand a staff member the morning of a shift. If your team is about to field an escalated call, the HEAT Model Quick Guide walks them through hearing someone out, naming the emotion, apologizing, and taking action, in about the time it takes to read a page. If you want a refresher on the small habits that shape a first impression, the S.E.R.V.I.C.E. Cheat Sheet covers just as much ground, just as fast.

Two resources built for this exact week

  • HEAT Model Quick Guide

Hear, Empathize, Apologize, Take action — a one-page walkthrough for the escalated call your team is about to field.

  • S.E.R.V.I.C.E. Cheat Sheet

A fast refresher on the small habits that shape a first impression, before the first car pulls up.

Is your campus ready for the influx that’s about to arrive? Probably not with a full month of preparation, and that’s fine. You can meet your team where they actually are this week: exhausted, under pressure, and doing their best to make a stranger’s first day on campus feel like it matters. Give them a resource that fits in the five minutes they have.
